Document Management

Scanning

Scanning your documents allows you instant access to any one of thousands or even millions of pages. Credence can scan to any file format including tiff or PDF. We scan by document or binding level and can index by identifying information. Credence does a page for page quality check on every project.

Document Unitizing

Using logic our paralegal team will convert mounds of paper to physical documents to distinguish each from the other and capture attachment relationships among them.

Document Coding

Finding critical information in a large document case can be problematic. Credence’s approach is to code (or index) the relevant information from each document into a searchable database. Our coding team seeks out relevant information from each document including To, From, CC'ed, Subject, Date and Title. This information is entered into the database where it can then be searched. Each coding project is designed specifically to match the client's needs.

Optical Character Recognition (OCR)

If the original documents are of sufficiently high quality, they can be subjected to Optical Character Recognition (OCR), to create searchable files of the actual document's text.

Blowbacks

If you need paper copies with the IDs assigned before or during scanning, they can be made from the CDs or electronic images at any time without access to the original boxes. Credence can blow back paper copies of any subset or all the pages scanned at any time on one of our high-speed printers. Credence can also make oversized and colored copies of special images.

Quality Control

Disciplined conventions ensure that data will not be missed or overlooked due to spelling variations or incorrect entries of dates or codes. Specific quality control methods ensure that documents are treated in a consistent way even when many coders are required to complete a job.

Sample Coding at No Cost

To facilitate database planning, Credence will design a database and code a few hundred pages of project documents at no cost. This initial coding provides the basis for subsequent design discussions between the client and Credence.

Records Management & Archiving

Most companies have a large amount of historic data in their office, oftentimes stored in boxes. No matter what you are paying on your current real estate lease, space is at a premium and no one can afford to permanently store boxes of records. Credence offers a permanent archiving method that electronically scans and indexes your information and stores that data in PDF format for future access.
